Introduction

Learn how an HP All-in-One printer can help you organize your taxes to save you time, money, and peace of mind. We’ll also show you how easy-to-use software such as TurboTax can help streamline the tax preparation process.

Use your HP All-in-One to set up a simple record-keeping system

The HP Officejet Pro 8500 can scan your tax-related documents and information, not only freeing up space, but also allowing you to easily search your documents.

Setting up a clear filing system with consistent and accurate folder and document names will make future tax seasons a breeze.

With a little foresight and organization, tax time needn’t be so…taxing. An All-in-One from HP has all the tools to help you set up a system for storing tax-related documents and receipts that is easy to use and maintain for years to come. It will give you the ability to scan receipts, fax returns, copy financial documents, and more.

Scanning

Even though the tax preparation process can seem daunting, scanning makes record keeping neat, searchable, and compact.

  • Save space. Take cumbersome legal-sized documents, such as deeds and contracts, and turn them into easy-to-file letter-sized documents by reducing. The HP Officejet Pro 8500 Wireless Printer features a legal-size glass scanning bed to make the process simple, even with documents that are bent or too delicate to go through an automatic document feeder.
  • Make searchable. Scanning documents using Optical character recognition software allows you to find keywords and phrases by electronically translating your documents into a form that your computer can read.
  • Get organized. Titling digital files with clear, easy-to-understand terms and filing them in a logical way will also result in more efficiency and less frustration.
  • Enjoy convenience. Digital files make it easy to gather and send your information to your accountant or tax professional or to import into tax software.
  • Stay secure. Keep digital files safe in a portable drive, stored in a safety deposit box, or other trusted location as backup.

Save paper, stamps, and time

Double-sided printing

An HP LaserJet M1522nf Multifunction Printer can duplex and fax, all from one machine, helping you to streamline your office, your tax files, and your life.
All-in-One features such as double-sided printing and fax-capabilities allow you to consolidate documents, simplify your filing system, and save stamps and time.

Double-sided printing

When printing fat returns, receipts, deeds, and financial records, for example, double-sided printing (or duplexing) helps consolidate these unwieldy documents into easy-to-reference copies that fit more conveniently in binders and filing cabinets.

Faxing and copying

Your All-in-One’s faxing capability makes it simple to fax state and local returns or fax additional documentation to your tax preparer, saving you a second (or third) trip! You can also:
  • Save stamps by faxing instead of mailing.

  • Save peace-of-mind by ensuring your timely documents don’t end up in an e-mail spam filter!

  • Save time by making additional copies of tax returns for loan applications and other transactions involving financial disclosure.
The HP LaserJet M1522nf Multifunction Printer offers fax functionality, up to 19,200 dpi resolution scanning for high-quality color images, and a 50-page feeder for fast, hassle-free copying.

Saving your tax information

Several common tax forms.
Color-coded filing system.
Keeping all significant tax-related documents for at least six years is a good rule of thumb.
The biggest questions, in terms of tax-related documents, tend to be what to keep and for how long? Let’s begin with what you don’t need at all.
  • Toss. You don’t need to save all of those ATM-withdrawal receipts. After recording and balancing your checking and savings withdrawals and deposits against your monthly statements, you can throw them away. Likewise for credit card receipts and deposit slips. *

  • Keep for a year. Usually you will receive final, end-of-year summaries for monthly credit card statements, paycheck stubs, mortgage statements, utility bills, and brokerage/mutual-fund reports. Once you receive these, you can typically throw out all those monthly statements. Be sure that they reconcile with the year-end summaries, however, before you toss them! *

  • Indefinitely. Keep all of your tax returns indefinitely. If you file electronically, make sure you get copies from the company that filed your return. *
Other important documents to keep for at least six years include:
  • 1099s, W-2s, canceled checks, letters from recipients of charitable contributions, medical expenses, home repairs, alimony, mortgage statements, home improvements, investment portfolio records, child-care bills, out-of-pocket medical expenses, alimony, and mortgage-interest and property-tax payment receipts. *
To avoid excess clutter, scan these documents as PDFs and store the originals somewhere secure.

* For advice on your specific tax situation, please consult a tax professional.
